Get out of spreadsheets.Know what you have, where it is, and what happened to it.

Inventory Essentials is QR-based inventory tracking for companies still running on Excel, paper, handwritten lists, and tribal knowledge. Scan a code, tap what you are doing, done — without implementing an ERP.

The demo is a real, working warehouse with sample data. Nothing to install, no signup.

Still using Excel, paper, handwritten lists, or tribal knowledge?

It works, right up until it does not. The spreadsheet is not wrong because anyone is careless — it is wrong because it has no idea what physically happened on the floor this morning.

  • Somebody has to walk the racks to answer “do we have any?”
  • Two people edited the sheet and neither version is right.
  • The count says 700, the shelf says 680, and nobody knows when it changed.
  • The one person who knows where everything is went on holiday.

Four taps, and the record is right.

The whole product is one workflow, done properly. Moving a pallet should be faster than finding the row in the spreadsheet that tracks it — if it is not, nobody will do it, and the numbers go wrong again.

  1. Step 1

    Scan

Point a phone at the label on the box, the bin, or the pallet. No handheld scanner to buy.

  2. Step 2

    See it

What it is, which lot, how much, and exactly where. One screen, readable at arm’s length.

  3. Step 3

    Do it

Receive, move, use, or count. Four buttons on the screen — not four menus deep.

  4. Step 4

    It is recorded

Who did what, when, and why. Balances update the instant the transaction is written.

A move, start to finish

1Scan the box
2Tap MOVE
3Scan bin B07
4Enter 500
5Confirm

A03 goes from 1,200 lb to 700 lb, B07 goes to 500 lb, and the history records who moved what, from where, to where, and when. Neither side can move without the other.

What you get

QR labels you print yourself

Every item and every location gets a code. Plain paper and tape is enough to start. The code carries no information about your business — it is meaningless to anyone who photographs it.

Lots and batches, only if you use them

Turn lot tracking on per item. Nothing ever makes you invent a lot number for a box of bolts.

Counts that explain themselves

System said 700, you counted 680: the history records an adjustment of −20 with the reason, your name, and the time. Nothing that already happened is overwritten.

Low stock, without a planning module

Set a minimum on the items that have one. They surface on the dashboard and in inventory. No forecasting, no MRP run, no planning horizon.

Estimated value on hand

Quantity times current unit cost, so you can answer “roughly how much is sitting in there?”. Operational, not accounting — no FIFO layers and no general ledger.

Your data comes back out

Import from the spreadsheet you already have, with a preview before anything is saved. Export current inventory and full transaction history to CSV or Excel whenever you want.

What Inventory Essentials is not.

It is not an ERP, an MRP system, a full warehouse management system, an accounting package, or a purchasing suite. There are no purchase orders, no sales orders, no invoicing, no production scheduling, no bills of material.

That is the point. Every one of those is a project, and most companies running on a spreadsheet today do not need one — they need to know what they have and where it is.

And when you do need more

McCauley Technologies builds custom industrial automation and operations software — production systems, integrations, data platforms, and the awkward things in between. Inventory Essentials is often the first step: get the inventory right, then decide what else is worth building.

Tell us what you are dealing with

Send us your inventory spreadsheet.

Still using Excel? Email us the sheet you are working from and we will show you what it looks like in Inventory Essentials — your items, your locations, your quantities. No obligation, and we will delete it afterwards if you would rather we did.

Email inventory@mccauleytechnologies.com

Attach it to the email — we have deliberately not built a public upload form for somebody’s operational data.

Or see it working first

The demo is a complete warehouse with about thirty items across five categories, real lot numbers, a week of history, and a few things deliberately running low. You can scan, move, issue, and count exactly as a customer would.
